Age range

Age range policy

It is the policy of Camp St Mary’s London to accept students who fall within the age range of the courses provided in our promotional materials. The student should have reached the required lower age or not exceed the upper age by the beginning of the course.

Our advertised age range is 12 – 17 years.

Exceptions

We will accept students one year younger or older than the age range only as part of a group with a group leader.

Any student who is under 12 will need to be supervised on excursions by the group leader as they are not allowed to have free time.

Any student who is 18, or will be 18 years old before the end of the course:

  • is only permitted to attend the course at the discretion of Camp St Mary’s management
  • will be subject to the rules of the camp as if they were 17 years of age
  • will, by attending the programme, automatically waive the right to:
    - leave the campus unaccompanied
    - purchase or consume alcohol
    - smoke
  • will be accommodated in single en-suite accommodation, regardless of the accommodation booked by the rest of the group.

Complaints

Complaints policy

Purpose

We are committed to students having a positive, valuable and enjoyable experience. Where a student, parent or guardian is not satisfied with any aspect of the programme, we encourage the issue to be raised promptly so we can address and resolve it quickly.

Our complaint policy will be communicated to students and group leaders during their first two days and will also be mentioned in their respective handbooks.

Policy review

This procedure was created in August 2025. We review all our policies annually or whenever required where there are new or updated guidance or recommendations from the UK Government, appropriate organisations, or accrediting bodies.

Policy

Informal complaints

We always ask students, parents or guardians to bring the complaints to the onsite management as this means we can often solve the problem quickly.

Formal complaints

When the onsite management are not able to resolve the problem within 3 working days, students, parents, or guardians should send a formal complaint to our senior management team by emailing:

When the complaint is received, our senior management will acknowledge it within 48 working hours and start investigating. A formal response will be provided within 7 working days, once the investigation has gathered all the information.

Appeals

If the reply from Camp St Mary’s does not satisfy the student, parent or guardian, they may request an independent review by contacting English UK.

Policy statement

Introduction

St Mary’s University London operates under its safeguarding policy which can be accessed here. Camp St Mary’s London (CSM) works directly with under 18s so the following policy refers to aspects of safeguarding of under 18s.

St Mary’s University International Summer Camp, trading as Camp St Mary’s London (referred to here as CSM) runs summer camps for international students.

Students are provided with residential accommodation, board and a full activity programme. This policy sets out CSM’s approach to safeguarding and child protection, which are of key importance to us.

This policy applies to all adults who have direct and indirect contact with children under the supervision of CSM.

Introduction

Camp St Mary’s London (CSM) wants to give all students a safe and friendly place to learn and enjoy their time.

Purpose

This Code of Conduct explains the rules of behaviour that all students at CSM must follow.

Review

This Code of Conduct was created in August 2025. CSM will check and update it every year, or when the government or other official groups give new advice or rules.

Code of Conduct: what students must do

Students must:

  • be polite and respectful to all students and to CSM and Host Institution staff. CSM does not tolerate any rude, unfair or bullying behaviour
  • follow all instructions from CSM staff during lessons, activities, excursions and in accommodation
  • always carry their CSM Student ID card
  • go to all lessons and activities. If they are sick and cannot attend, they must tell their Group Leader or a staff member
  • speak English during all classes and activities
  • not leave the camp without a staff member
  • follow the curfew (rules about when to return to accommodation)
  • follow all emergency rules and directions from staff
  • not use or carry banned items, such as cigarettes, e-cigarettes or vapes, alcohol, illegal drugs, knives, guns, or other weapons
  • not go into bedrooms or areas for the opposite sex
  • respect the buildings and not damage anything or draw graffiti
  • look after their own belongings. CSM is not responsible if personal items are lost or broken
  • not break any laws in the UK

If students break the rules

If a student breaks the Code of Conduct, CSM may take action.

The steps are:

  • Informal warning – for small problems
  • First written warning – for more serious problems
  • Final written warning – if the behaviour continues or is serious
  • Immediate expulsion – if the behaviour is very serious or doesn’t improve Depending on the behaviour, CSM can give a final written warning for the first offence or even expel a student straight away for very serious misbehaviour, without giving earlier warnings.

Terms and conditions

Definition of terms

This web page will refer to terms which start with a capital letter, defined below. These terms may use plural or singular and have the same meaning.

Booking confirmation: the agreement between the Student and CSM for services provided according to CSM’s publicity materials

Camp: the location sold by CSM at the destination where the Student will study

CSM: Camp St Mary’s, the trading name for the summer camp provider trading name for St Mary’s University Twickenham, the company that provides the service(s) to the Student

Course: the lessons provided by CSM and studied by the Student

Insurer: the insurance broker assigned by CSM

Programme: the package of services, including a Course, offered to the Student

Price List: the list that CSM publishes on its website, listing the current prices for its courses, programmes and other services

Student: the person attending the Course or Programme and/or parent or legal guardian where the Student is a minor in law (under the age of 18 years)

Website: the website with the URL campstmarys.com and all associated pages

Terms and conditions for direct students

Accommodation

Students stay in single beds in single rooms. Where possible, we put boys and girls in separate parts of the building (like different blocks or floors).
Students who are 18 years or older must stay in single en-suite rooms (with their own bathroom), following our Child Safeguarding Policy. If this costs more, the Student must pay the extra fee.

Accreditation

CSM is provisionally accredited by the British Council for the teaching of English as part of the scheme provided by Accreditation UK

Age ranges

Each camp has an age range. We refer you to our Age Range Policy available on our Website.

Behaviour and expulsion

Students must follow the law, camp rules, and our Student Code of Conduct.

Parents or guardians must sign our Welfare and Consent Form to say they agree to the Code of Conduct before the Student arrives.

We may ask a student to leave (with no refund) if they:

  • Break the rules more than once
  • Do anything illegal or dangerous
  • Give us false or incorrect information (including health matters)
  • Damage our camp or company’s reputation.

If someone is asked to leave, the student or family must pay all costs. If they don’t, we may contact their embassy or consulate. All students and staff and third party group leaders must treat each other with respect.

Bookings, Payments and Prices

All prices quoted in our Price List, published on our Website, are in Pounds Sterling and CSM requires the balance to be settled in that currency. You must make payment using the account details on the invoice. St Mary’s uses a payment platform which offers fee-free payments at the best foreign exchange rate on any given day.

  • A 20% deposit is due 7 days after Booking Confirmation
  • Full payment is due 28 days before arrival
  • If booking within 28 days of arrival, full payment is due at the time of booking Prices include local taxes unless we state otherwise.

Cancellations and refunds

To cancel a booking, you must send us an email (csm@stmarys.ac.uk) or letter to St Mary’s University, Waldegrave Road, Twickenham, TW1 4SX, UK. We will reply to confirm we received it.

  • Cancel more than 30 days before arrival: full refund (except £20 to cover the admin to cancel the student insurance policy)
  • Cancel 14–30 days before arrival: 75% refund
  • Cancel less than 14 days before arrival: 50% refund
  • Cancel on or after the arrival date or no-show: no refund If your visa is refused, you will get a full refund.
    You must send us a written letter from the embassy or consulate. We cannot accept phone calls as proof.
    Please apply for visas early.
    Refunds are paid within 45 days. Certificate Reprints If you lose your paper certificate and want another copy, we charge £30 (for admin and postage). PDF (digital) copies are free.
    If your certificate is from another organisation (like an exam board), we will tell you the extra cost. Complaints If you have a problem, tell us at Camp. We will try to fix it within 24 hours. If the problem is not fixed, we may ask a senior manager to help. In England and Wales, you can also ask an independent person to help. You can find more details in our Complaints Policy on our website. Damage and Loss Students need to pay a damage deposit of £50 or €50 when they arrive.
    If there is no damage or loss of keys incurred, we return the money as the student leaves. Data Protection We follow UK data protection laws (Data Protection Act 2018). You can read our Privacy Policy on our website.
Force majeure (Unavoidable Events)

CSM is not responsible if we must cancel or change your course because of things we cannot control, such as:

  • Transport problems
  • Strikes
  • Natural disasters
  • War or terrorism
  • Quarantine or pandemics
  • Extreme weather
  • Student illness
  • Other serious unexpected events
Insurance

CSM engages with an Insurer to provide health, travel and cancellation insurance
Insurance is included in our Programme prices (see our Price List).
Students must check if the insurance is right for them.
All claims must be made by the student, but CSM will provide assistance.
Insurance (including cancellation cover) starts 1 month before arrival if a deposit or full payment is made. If you cancel, we charge a £20 administrative charge to cancel the insurance. You can find the full insurance policy on our website.

Language level

If a course needs a minimum English level, and the student does not meet this level, we will offer another course. We do not give refunds in this case.

Liability

CSM is not responsible for injury or death.
CSM is not responsible for lost or damaged personal items. CSM may change parts of the programme if government laws (for example, during a pandemic) make it necessary.

Parental consent and student welfare

Before travel, parents or guardians must send us a signed consent form. This includes health and welfare information. If CSM does not receive this, we will ask the student directly. Students must tell us about any health problems or allergies. If they don’t, they may need to return home at their own cost.

Policies and procedures

Please read the published on this page before the student arrives. We will send other policies before or when the student arrives.

Publicity

CSM may take photos or videos for marketing. We will ask students and parents to opt in. We may still use photos of crowds where people cannot be recognised.

Safeguarding

Student safety is our number one priority. Please read the Child Safeguarding Policy on our website.

Programme changes

CSM may change the Course, accommodation, dates, or locations if necessary for circumstances outside our control.

Sample timetables may change and equivalent services will be offered.

Travel and transfers

Transfers are only included if we say so. Otherwise, there is an extra cost. Please ask for prices. You must give us arrival and departure details at least 7 days before arrival (28 days for groups).

CSM is not responsible for missed transfers if we receive late or wrong information. You will need to pay for a new transfer.

These costs may be covered by insurance.

If the student is travelling with an adult, we must know in advance who is collecting or dropping them off. They must bring ID. If they are not a parent or guardian, we also need an e-consent form (we will provide this).

Terms validity

CSM may update these terms and conditions. If we change anything important after you book, we will tell you.

Visas and immigration

Students must obtain the correct visa before travel.
CSM is not responsible if you are refused entry, based on information you give the authorities. Students under 18 may need extra travel documents.
