Sport St Mary's COVID-19 Supplementary Terms & Conditions

For the Fitness and Conditioning Suite (F&C Suite), Sir Mo Farah Athletics Track, Tennis and Badminton court hire and participation in the SIMMSactive student sport programme, COVID-19 Supplementary Terms & Conditions are in place to allow the sport facilities to operate safely and effectively for students, staff and customers, during the pandemic. 

The current Sport St Mary’s (SSM) Facilities Regulations and Conditions of Hire and Use are still relevant and apply to all users of the sport facilities.

COVID-19 Precautions 

In line with current Government guidance please do not enter or use the sport facilities if you are showing COVID-19 symptoms including the following: 

  • a high temperature
  • a new, continuous cough
  • a loss of, or change to, your sense of smell or taste

Get a test and stay at home.

Track and Trace 

In accordance with Government guidance the University will implement a track and trace process for all users of the sport facilities. 

SSM shall collect information on each attendee (name, contact phone number, date and times of entry and exit) so that if an individual tests positive for COVID-19, SSM will hold details of those that they have recently come into contact with. Temporary records shall be maintained for 21 days and all data will be stored in accordance with GDPR. 

For Track and Trace purposes, all members will be required to maintain accurate and up to date contact information via the online booking system.  

Member Booking Conditions for  F&C Suite and Sir Mo Farah Athletics Track

  1. All sessions in the F&C suite and the Sir Mo Farah Athletics Track must be booked in advance  
  2. The Sir Mo Farah Athletics Track will be available for running activity only. Any member who wishes to use the throws or jump facilities must contact a member of the Sports St Mary’s staff to see if this can be facilitated 
  3. Your online account will enable you to book up to 3 days in advance  
  4. Please arrive no earlier than 5 minutes prior to your booking start time 
  5. For any member that fails to turn up or cancel a booking for the F&C Suite within 2 hours of the booked session, a £3 charge will automatically be applied to their online account. Members will be unable to book any further sessions until the charge is paid – this can be via the online booking system within the ‘My Debts’ section  
  6. Any member arriving 15mins or later for a booked F&C Suite session, shall be classified as a ‘no show’ and £3 charge will be applied to the online account 
  7. If you arrive less than 15mins late for a booked session for the F&C Suite session or the Sir Mo Farah Athletics track, you may use the relevant facilities, but your session will end at the time detailed in your booking. You will not be given any additional time to use the relevant facilities.   
  8. Sessions will be up to one hour maximum, per person and will start and end within the allotted time period 
  9. Please check in with a member of staff at the SSM main reception before entering the F&C suite or using the Sir Mo Farah Athletics Track 
  10. Please wash/sanitise your hands before entering the facilities and do this regularly during use 
  11. Please adhere to all signage and follow the one-way system in place throughout the sport facilities, including the F&C suite and the Sir Mo Farah Athletics Track 
  12. Avoid using the changing rooms and lockers. Please arrive changed and ready and then change and shower at home 
  13. Please respect social distancing requirements at all times, throughout the sport facilities  
  14. Please adhere to all capacity limits across the sport facilities  
  15. Please follow any instructions given by any member of SSM staff 
  16. Please raise any concerns with a member of SSM staff 

Fitness and Conditioning Suite Usage Conditions

  1. Capacity of the F&C suite is set at 18 in total at any one time (8 people within the free weights/lifting area and 10 people within the CV/resistance machine area)
  2. Members must not alternate between the areas within the F&C Suite when this will result in capacities in any area being exceeded 
  3. To help maintain physical distancing some equipment will be removed or decommissioned – signs will be placed on equipment to show that it should not be used  
  4. It is recognised that users may wish to use multiple items of equipment during their session, however all users must maintain social distancing and work a minimum of one machine apart at all times.  
  5. Due to the need to increase space between equipment, stretching and core work in the previously designated area will not be possible at this time.  
  6. All users MUST clean and wipe all equipment and touch points before and after use 
  7. Please avoid ‘spotting’ of other F&C Suite members – always use the safety equipment provided  
  8. Please do not move machines or equipment within the F&C Suite 
  9. Please replace all equipment in the racks provided 
  10. Please do not bring towels/sweat towels into the F&C Suite 
  11. In line with current Government and industry guidance face masks are optional, but users should feel free to wear them 
  12. The water fountains will not be in use – please bring a personal water bottle and do not share 
  13. It is recommended that all users bring their own hand sanitiser 
  14. When leaving the F&C Suite please go straight to the exit and leave promptly 
  15. Please adhere to all signage in place around the F&C Suite 
  16. Please follow any instructions given by any member of SSM staff 
  17. Please raise any concerns with a member of SSM staff 

Sir Mo Farah Athletics Track Usage Conditions

  1. Casual (non-coached) use of the Sir Mo Farah Athletics Track by members should be on an individual basis, two household units or a maximum of six people

  2. Please check in with a member of staff at the main reception before accessing the Sir Mo Farah Athletics Track 
  3. All activity must follow current England Athletics guidance
  4. Please respect social distancing requirements and all other users of the Sir Mo Farah Athletics Track 
  5. Hurdles will not be available to use 
  6. Starting blocks, will not be loaned by SSM to casual users, but starting blocks personally owned by the user can be used. They should be used just by one athlete and thoroughly cleaned before and after use by the individual user 
  7. Please do not attempt to use or access sport facilities or equipment that is locked or is currently made unavailable 
  8. Toilets will be available at the main sports facilities 
  9. When leaving the Sir Mo Farah Athletics track please go straight to the exit and leave promptly 
  10. Please adhere to all signage in place around the Sir Mo Farah Athletics Track 
  11. Please follow any instructions given by any member of SSM staff 
  12. Please raise any concerns with a member of SSM staff 
  13. It is recommended that all users bring their own hand sanitiser

SIMMSactive student sport programme (from 29th March 2021) - participations conditions

  1. All sessions shall be scheduled within the current National Governing Body (NGB) guidelines
  2. All participants must pre-book attendance using the SSM online booking system
  3. Participants will only be able to book into sessions in line with the maximum allowable attendances
  4. Equipment can be collected from the Sport St Mary’s reception by one student booked onto sessions
  5. All participants are required to clean all equipment used prior to returning it
  6. No bibs will be provided - participants are asked to bring different coloured clothing to allow them to play in “teams” where possible
  7. Please arrive no earlier than 5 minutes prior to your booking start time, and do not enter the appropriate facility until all participants from the previous session have vacated the facility
  8. Please bring your own personal water bottle and do not share with others
  9. It is recommended that all users bring their own hand sanitiser
  10. Please follow any instructions given by any member of SSM staff
  11. Please raise any concerns with a member of SSM staff
  12. Please wash/sanitise your hands before entering the facilities and do this regularly during use
  13. Please adhere to all signage and follow the one-way system in place throughout the sport facilities, including the F&C suite and the Sir Mo Farah Athletics Track

In addition to the general guidance that applies across all SIMMSactive sessions, there are also sport-specific guidelines which need to be adhered to. These additional guidelines are summarised below:

Track (Walking and Running)

  1. Students must not use the Track in groups of greater than 6

Cricket

  1. No sweat or saliva to be applied to the ball
  2. Players to maintain a minimum of 1 metre distance at all times
  3. All balls and bats should be cleaned every 20 minutes, and bats should be cleaned before each person’s use. Hands should also be sanitised every 20 minutes
  4. One individual should collect equipment to reduce number of people touching it

Football (see also special booking information below)

  1. Handshakes and huddles are not permitted
  2. Team goal celebrations to be avoided
  3. Clean footballs and sanitise hands every 15 minutes
  4. All restarts and ball retrievals are encouraged to use the feet to avoid contact with players hands
  5. Avoid shouting and raised voices when in close proximity to others
  6. Refrain from spitting and nose blowing

Frisbee

  1. Clean discs every 15 minutes
  2. Maintain 1 metre distance at all times between all players
  3. No verbal stall counts
  4. Avoid making verbal calls in close proximity to other players

Gaelic

  1. Maintain social distancing during breaks
  2. Activities should reduce the amount of physical contact as much as possible
  3. Avoid unnecessary contact
  4. Maintain the highest standards of personal hygiene including, but not limited to, regularly washing hands, using hand sanitiser, avoiding touching your face.
  5. Clean footballs every 15 minutes

Hockey (see also special booking information below)

  1. Players must provide their own hockey sticks and these cannot be shared
  2. Players must avoid touching the ball with their hands, and should use their sticks as much as possible to control or move the ball.
  3. Enforce social distancing when play stops
  4. Avoid shouting excessively or spitting
  5. No handshakes with other players or close contact during goal celebrations
  6. Avoid practices that involve overly repetitive close contact between players

Lacrosse (see also special booking information below)

  1. Players must provide their own lacrosse sticks and these cannot be shared
  2. Nobody should handle the ball – use your sticks to do so
  3. Participants sanitise hands before activity, and should do so every 15 minutes. If wearing gloves, sanitise these
  4. Only one individual should collect equipment to reduce number of people touching it

Netball (see also special booking information below)

  1. 4ft spacing applies at start of play, when marking and during penalties
  2. No toss ups to take place
  3. Clean netballs, posts and sanitise hands every 15 minutes

Rounders

  1. Ball to be cleaned and hand sanitiser to be used pre-activity, after each innings and post-activity
  2. Bats to be disinfected between each use
  3. No touch rule implemented, including no high-fives, handshakes or any physical contact
  4. Batting team must maintain 2 metre distance whilst waiting and backstop should be positioned at least 1 metre behind the batting box
  5. Do not spit and avoid shouting or raised voice if in close proximity to others

Touch Rugby

  1. Clean rugby balls and sanitise hands every 15 minutes
  2. Avoid direct face to face exposure of more than 3 seconds and for more than 15 minutes within 1 metre
  3. Huddles, shouting, face touching, spitting and chewing gum should be avoided

Volleyball

  1. Clean volleyballs and sanitise hands prior to activity, every 30 minutes during and post-activity
  2. No physical contact between players
  3. Congratulatory touches and handshakes are not permitted

SIMMSactive Netball, Hockey, Lacrosse and Football taking place on the All Weather Pitch, Teddington Lock Campus

  1. Players may provide their own equipment, or collect from the Sport St Mary’s Reception prior to the session, balls and cones etc will not be available at the Teddington Facilities. Please note that we can only give out limited equipment for each sport and we cannot provide either lacrosse or hockey sticks.
  2. To access the All Weather Pitch please coordinate in your group for someone to be responsible for collecting and returning the gate keys
  3. In order to get the keys, the person chosen for this will need to show the booking confirmation email to main campus security, together with a £20 cash deposit
  4. Access to the Teddington Lock site will be via the Kingston Road gate. This gate will be opened by security. Please note, there is no parking available at the Teddington Lock campus.
  5. At the end of session the keys MUST be returned to the security office. Upon return of the keys, the £20 deposit will be returned.
  6. The keys should not be exchanged with any other users of the All Weather Pitch or anyone arriving to use the All Weather Pitch for subsequent bookings.

Tennis and Badminton Court - Casual Hire – Usage Conditions (No earlier than 12th April 2021)

  1. Casual use courts by adults should be on an individual or household only basis.
  2. All activity must follow current LTA and England Badminton guidance which can be found here

  5. All Tennis and Badminton courts must be booked in advance and paid in full via the online booking system  
  6. Your online account will enable you to book Tennis and Badminton Courts up to 7 days in advance  
  7. Courts must only be booked for casual use only. Courts cannot be booked for private, individual coaching sessions or for club/team sessions  
  8. Courts shall be booked for 1-hour sessions and will start and end within the allotted time period. Multiple, consecutive session bookings are permitted and should be made and paid for through the online booking system 
  9. Please arrive no earlier than 5 minutes prior to your booking start time 
  10. All users must check in with reception upon arrival at the main reception before accessing the courts 
  11. SSM shall set up and take down court nets. Users are requested not to adjust or move the court equipment 
  12. Users are required to bring and use their own tennis rackets and balls. SSM shall not loan or hire any individual equipment  
  13. Cleaning materials shall be available within the facility to clean personal equipment as required  
  14. For all casual bookings of the Tennis and Badminton courts, the relevant SSM Risk Assessments shall apply  

By booking a session you agree to adhere to SSM, St Mary’s University, National Governing Body, and Government guidance at all times.
